Each customer receives their own, pre-configured server in Germany — no cloud subscription with US providers, no month-long consulting project. The AI (European, GDPR-compliant with AV contract) works from day one: receipts, documents, and appointments run automatically, fully manageable without IT knowledge. Fixed price instead of daily rates, no contract commitment — and when in doubt, the system asks the manager instead of guessing.

Architecture: Each customer instance runs on a dedicated server at a German hosting provider — fully isolated, no shared tenant cloud. The foundation consists of proven open-source components (document storage, workflow automation, database) that are delivered as a ready-configured total system. AI Processing: Text recognition and language understanding run via European AI models (Mistral, EU data centers, processing under Art. 28 GDPR, no training with customer data). A multi-tier zone model decides based on data type whether it is processed deterministically, pseudonymized, or not at all externally — for professionals subject to professional secrecy (§ 203 StGB), stricter rules apply. Reliability: Every AI decision is logged; when uncertain, the system asks the user instead of guessing. An automatic error analysis and self-healing mechanisms monitor each instance around the clock. Receipts are handed over to accounting in a revision-friendly manner with proof of sending and processing (e.g., BuchhaltungsButler, DATEV connection via standard routes). Usability: All functions are consistently designed for non-expert users — rules are formulated as everyday sentences, the system learns from individual corrections ("always do this in the future"), without anyone needing to configure it.

Pricing Model: The Bergmann Autopilot is operated on a fixed monthly price — in the low three-figure range, depending on the scope of functions. Included are the own server in Germany, all AI processing costs, ongoing updates, and system monitoring. There are no hidden usage or token fees: The AI costs per instance are technically capped. Access begins with a discounted trial phase with full functionality on your own, real operation — no demo environment, but the future production instance. Add-on modules (e.g., Knowledge Assistant, Writing Assistant, Phone Notes) are available for individual purchase, so each operation pays only for what it uses. No contract commitment, cancelable monthly. A pre-deployed AI Readiness Check determines in advance how many unpaid office hours per week are embedded in the operation — this allows the investment to be honestly calculated against the saved time.

Implementation effort: one appointment instead of a project. The server is delivered fully pre-configured — the instance already exists before the customer sees it for the first time. At the setup appointment (on-site or remote, typically 1–2 hours), the scan app on the smartphone is set up, the folder structure is adapted to operations, and the first real receipts are processed together. In practice, real documents are still processed through the system on the day of the onboarding. Customer prerequisites: practically none. A smartphone is sufficient; no software is installed on company computers, no existing IT is changed, and no staff needs to be trained who would have to "maintain the system" — the provider takes over operations, updates, and monitoring completely. Step-by-step instead of big bang: Operations start with receipt processing and add further functions (document storage, appointments, accounting integration, add-on modules) at their own pace. The connection to tax advisors or accounting software is established together at the appropriate time — until then, the system collects everything in a revision-friendly manner and can be uploaded later with a single click.
